Holiday for irregular hours.
For leave years starting on or after 1 April 2024, workers with irregular hours or who work part of the year build up holiday at 12.07% of the hours they work in each pay period. Put in the hours someone has worked to see the holiday they have built up.
The rule and the 12.07% rate: GOV.UK, holiday pay and entitlement reforms and Acas. 12.07% gives the legal minimum of 5.6 weeks, and the law caps holiday built up this way at 28 days a year, so subba stops at 5.6 of the person's average weeks. A contract that gives more needs a higher rate. subba works it out to the minute; check how your payroll rounds it.
Before you switch.
Do my staff need to download an app?
No. They sign in on their phone with their Google account and can add subba to their home screen. They see their shifts for this week and next, clock in and out, and ask for holidays.
How do staff find out when the rota changes?
When you add or remove someone's shifts, or copy a week in, subba emails them their shifts for the next two weeks, and sends a notification to their phone if they turned notifications on. It waits until you have finished changing things and sends within the hour, or you can tell them straight away.
Does it work out holiday for zero-hours and casual staff?
Yes. Set their holiday to build up from hours worked and it adds 12.07% of the hours they clock this year, counted in hours, up to the legal most of 5.6 weeks a year. A holiday then takes the hours of their shifts on those days, or the hours you enter.
Does it check breaks?
It flags any shift, or any clocked time, over 6 hours without a 20-minute break, the legal minimum for adults. Tick anyone under 18 and it checks for theirs instead: 30 minutes after 4 and a half hours.
Does it run payroll?
No. It keeps the hours: download any week's timesheets as a spreadsheet for your payroll or your accountant.
Can a manager run the rota without seeing our billing?
Yes. Give them a manager login. Managers run the rota, timesheets and holidays, and see orders and sales, but not your subba plan, payments and payouts, or who has access.
